Event lighting is a different product entirely
The distinction is worth making: permanent systems are infrastructure, event lighting is staging. Weddings, receptions, celebrations: set up for the date and removed after. That changes everything about how it gets planned, because there is no version of this you fix next weekend.That single fact drives the rest of it. An installation has time to be adjusted. An event has one performance. So the planning happens early, the what ifs get covered, and nothing important gets left to the day itself.
The one thing you cannot negotiate
With an installation, a delay is an inconvenience. With an event, there is none. The lead time is not proportional to the size of the display. Even a modest setup involves a visit, a plan and scheduled labor, and those steps take the time they take.
Power is where outdoor events go wrong
The most common outdoor event problem is power, not aesthetics. Where the power comes from, how it gets to the fixtures, and whether the run is safe to walk over belong in the first conversation. A beautiful plan nobody can energize is not a plan.And whoever is handling the lighting should be told what else is happening in the space, because a band, a caterer and a photographer all have requirements that touch the same square footage.
The contingency conversation
An outdoor date is exposed. Ask early: what the contingency looks like. Having an answer in advance is the difference between an adjustment and a crisis.
Priorities

Who else needs to agree
If the event is at a venue, somebody else sets the terms. Access windows, load in times, attachment restrictions, and the strike deadline are all set by the venue, not by you. Getting the venue contact talking to the lighting company early prevents the usual scramble.
Most people overestimate
The instinct with an event is more. Dark surroundings lower the threshold, so what looks sparse on a plan often looks generous on the night. The spaces that people remember are lit sparingly, with genuine dark between the bright points. A designer who says you need less than you think is usually right.
