Event lighting is temporary on purpose
Most outdoor lighting is an installation. Event lighting is built to come down. A wedding, a milestone birthday, a company event, a reception: the lighting exists for a single evening. That changes the whole approach, because there is no version of this you fix next weekend.That single fact drives the rest of it. An installation has time to be adjusted. An event is judged once, in one evening. Everything gets settled before the week of, because there is no room to improvise on a fixed date.
The one thing you cannot negotiate
Permanent work has flexible scheduling. An event cannot. The lead time is not proportional to the size of the display. A small display still needs a site visit, a plan, a power solution and a crew on the calendar.
The unglamorous part

Planning for the day going wrong
Outdoor events are subject to whatever the day brings. It is worth asking what happens if the forecast turns, even though nobody enjoys it. Having an answer in advance means the day is manageable either way.
Where to put the effort
At an outdoor event the light is doing two things: atmosphere and navigation. The photographed parts are the overhead canopy, the head table, the ceremony area, the feature tree. Function covers paths, level changes and exits, and it gets forgotten until somebody trips. Both need to be in the plan. Only one of them gets remembered fondly.
Working with the site
Venues have rules, and finding them out late is expensive. Access windows, load in times, attachment restrictions, and the strike deadline belong to the property. Getting those two parties connected up front prevents the usual scramble.
Most people overestimate
Planning an event, the temptation is to over specify. Outdoors after dark, a modest amount of light goes a very long way. The spaces that look best in photographs are lit sparingly, with genuine dark between the bright points. A designer who says you need less than you think is usually right.
